A leading University is seeking an Academic Events Coordinator. The successful candidate will be responsible for event preparation and execution, and support other academic operations as needed. The ideal candidate is an organized individual comfortable with working on a team of 5-10 people and ready to contribute. The company offers a great work environment!

Academic Event Coordinator Pay and Benefits:

  • Hourly pay: $35/hr
  • Worksite: Leading University (Stanford, CA 94305 - Onsite)
  • W2 Employment, Group Medical, Dental, Vision, Life, Retirement Savings Program, PSL
  • 24 hours/week, 2 Month Assignment

Academic Events Coordinator Responsibilities:

  • Work closely with the Academic Collective and Events team to organize and execute overall planning of all academic events for the design school.
  • Reach out with initial requests and stay in contact with various event vendors including caterers, equipment rental companies, etc.
  • Collaborate with the finance lead on our team to secure timely payments for each vendor through POs or our credit card.
  • Keep records of all vendor communications and receipts.
  • Arrange and confirm all delivery details with vendors. Ex: provide driving directions, where and when to deliver, etc.
  • Be available as the on-site contact for all event related deliveries.
  • Familiarize with the campus spaces to be used for the different events.
  • Coordinate with other department team members on event space and furniture usage needs.
  • Field and respond to operational requests from collaborators.

Academic Events Coordinator Qualifications:

  • Clear written and verbal communication skills to communicate event needs with vendors.
  • Organized, ready to contribute and comfortable with working on a team of 5-10 people.
  • Responsive and prompt in all communication and completion of tasks.
  • Able to prioritize needs of different events.
  • Great attention to detail so that event details/paperwork are executed and recorded.
  • Understanding of short timeline based event projects.
  • Comfortable with using Google Drives for shared information updates and frequent email follow ups.

Academic Events Coordinator Shift:

  • Starting ASAP through June 28, 2024.
  • Interested candidates must be able to work onsite from 9am - 6pm three days a week. (This is a part-time position working three days a week.)
  • Must be available for key events during the employment period.
