Bilingual Administrative Assistant

About Us:

St Anne's, established in 1908, is a nonprofit organization. We have a number of programs including a residential facility for at risk girls, a transitional housing program for at risk women, an Early Learning Center for their children as well as providing mental health services to families within our area.

Responsibilities:

  • JOB SUMMARY:   

    Manage reception area. Support families in intake process. Maintain children’s files. Provide administrative support to the Early Learning Center Director.

     

    RESPONSIBILITIES:

  • Greet and direct families and guests at the reception desk.
  • Manage and direct incoming phone calls.
  • Prepare child care applications, supporting parents in obtaining required documentation.
  • Review and update children’s files monthly: follow up on Looking For Work Statements, Homeless Statements, School Verification and Grades, and referrals for social services.
  • Organize and collect documents for children’s assessments and parent teacher conferences.
  • Maintain tracking system children’s files.
  • Maintain weekly sign-in sheets and rosters. 
  • Schedule and coordinate meetings as requested by Director.
  • Collect and disseminate department mail.
  • Maintain adequate supplies and stationery for administration department and ensures administrative office equipment is maintained.

  • Collect time sheets and submit to Finance Department by due date.

  • Receiving, logging and preparing of daily food deliveries.

Requirements:

  •  AA or BA degree in related field and/or work experience in child development or social service field preferred.
  • Able to work in a busy, ever changing environment. Able to meet deadlines.
  • Must be familiar Microsoft Office and have excellent skills with Excel and Word. Able to create a spreadsheet in Excel and pull and analyze data. Knowledge of Child Plus software a plus.
  • Excellent verbal communication skills with clients, visitors, volunteers, and employees.
  • Bilingual Spanish.
  • Hours: Sat/Sun 6am-2pm, Mon, Thurs, Fri 11am-7pm, off Tues and Wed.
