What's the difference between a task and a note?
A task is something that you need to accomplish that will go away once completed ...something that you are going to finish. For instance, a task might be a reminder to call someone, to schedule a follow-up appointment, or even to go pick up your laundry. All JobScore users can assign tasks to each other. All Tasks have a due date, and can be completed, deleted, edited and re-assigned.
Notes are information that you don't want to lose about a candidate...they are more permanent, and always connected to a candidate record. If there's something you want to remember about a candidate, add it as a note. You can also attach documents to notes, so you can store specific candidate documents like employment applications, engineering code samples or artwork in notes.
How do I create a task?
Click the Actions tab in the main navigation and select "Add Task." Or, click the Tasks tab in the main navigation and click the "Add Task" button in the upper right of Tasks Manager the page.
Can I get e-mail alerts about tasks?
Yes. When you add or edit a task, the form includes a checkbox labeled "notify by e-mail" (it's next to the "assigned to" column). When you check this box a reminder e-mail is sent to the assigned user right away. You can also receive daily task digest e-mails, which you can activate on your e-mail alerts page.
What is a task alert?
A task alert is an e-mail that JobScore sends you to remind you about a task.
How do I set up task alerts?
You can manage your task alerts on your e-mail alerts page.
How do I assign a task to someone?
For you to assign a task someone they have to be a user in your JobScore account. If they aren't in your JobScore account yet and you are an account admin you can add them here. When you are adding or editing a task there will be an assign to: value which shows a list of all active users in your account, just choose the user you want to assign the task to and it will show up on their my tasks page.
Where can I see the tasks I've assigned to other people?
You can see the tasks you've assigned to other people on your assigned tasks page.
Who can see my tasks?
Only you can see all of your tasks. Other people can see the tasks they've assigned to you though.
What are task categories?
If you actively use tasks, you can end up with really long lists of things to do. Task categories are useful for you to break out different kinds of tasks, like appointments to schedule, candidates to call, and people to follow up with. Task categories are completely flexible within your account, and if you have admin privileges you can add them, edit them, and even change the order they appear in on your tasks categories page.
How are tasks related to the candidate workflow?
Tasks and the candidate workflow are completely separate. One has no impact on the other in JobScore. Tasks are designed for you to manage the "list of stuff that needs to get done " while the candidate workflow tells you where a specific candidates are in the hiring process.
Can I delete a task?
Yes. Just click the delete icon in the actions column of the Task Manager.
What is a note?
A note is a bit of text and/or attachments that you add to any candidate in your JobScore account. People use notes for everything from tracking interview times to screening call logs, interview feedback, surveys or even salary information. We've left notes very flexible so you can put whatever you need in them.
Who can see my notes? Can I make them private?
By default every user in your account can see your notes. You can make your notes private by checking the "make private" box when you add or edit a note. When you check this box only you will be able to read and edit your notes.
Can I search notes?
Sorry, at this time you cannot search notes. We are planning on adding notes search at a future date.
Can I attach a note to a job or a user?
Sorry, no. Right now you can only add notes to candidates. If you think you'd add notes to jobs and users all the time, please request this feature in the JobScore Forums.
